Terms and Conditions
Welcome to Coachmate. These terms ensure a professional and productive learning environment for all students in Years 7–12. By booking a session or enrolling in a weekly plan, you agree to the following terms and conditions.
Services and Pricing
Coachmate provides personalised 1-on-1 tutoring sessions, conducted either online via Zoom or in-person.
Services are offered under three structure options:
Casual: Single 60-minute pay-as-you-go sessions.
Weekly Plan: Ongoing weekly enrolment for 1 session per week at a fixed recurring rate.
Weekly Plus Plan: Ongoing weekly enrolment for 2 sessions per week at a fixed recurring rate.
Rates and plan options are displayed on the Coachmate website at the time of purchase. Active Weekly subscribers may purchase additional single sessions at the casual rate when extra exam preparation or support is required.
Bookings and Payments
Scheduling: All sessions must be booked in advance via the website booking portal.
Casual Bookings: Full payment is required at the time of booking via secure payment processor Stripe.
Weekly Subscriptions: Weekly plans are billed automatically on a recurring weekly basis via Stripe. Payment reserves a set recurring time slot for your child each week.
Weekly Subscription Commitment & Cancellations
Minimum Term: All Weekly and Weekly Plus plans require a strict 4-week minimum commitment (4 consecutive weekly billing cycles) to build momentum and consistency.
Early Subscription Termination: If a weekly subscription is canceled or terminated prior to completing the initial 4-week commitment, an invoice will be issued immediately for the remaining balance needed to fulfill the 4-week term.
Ongoing Cancellation & Modifications: After the initial 4-week minimum commitment is fulfilled, subscriptions roll over week-to-week. You may cancel, pause, or switch between online and in-person modes at any time by providing at least 7 days’ written notice via email.
Session Attendance, Rescheduling & Conduct
Punctuality: Sessions run for a strict 60 minutes. Please arrive or log in on time. If a student is late, the session will still conclude at the scheduled end time.
Technical Readiness: For online lessons, students are responsible for ensuring their computer, internet connection, and video audio are functioning prior to start time.
24-Hour Rescheduling Rule: Individual lesson rescheduling requests must be submitted at least 24 hours in advance via the link in your confirmation email.
Late Cancellations & Absences: Individual session cancellations made with less than 24 hours’ notice will be charged in full and cannot be refunded or credited.
Illness & Emergencies: Cancellations due to illness or unforeseen family emergencies made with less than 24 hours' notice will not be charged and can be rescheduled.
Safety & Standards: Coachmate maintains a valid Working With Children Check (WWCC) held by all tutors. While Coachmate strives for academic growth, specific grades or exam marks are not guaranteed.
Refunds: No refunds are provided once a session or billing cycle has commenced.
Liability Limits
Coachmate provides tutoring with reasonable care and professional diligence. However, Coachmate is not responsible for specific academic results, exam performance, or any indirect losses.
Ending the Agreement
Either party may end the tutoring relationship by providing written notice in accordance with the 7-day subscription cancellation policy (or 48 hours' notice for casual arrangements). Any outstanding dues or remaining minimum commitment balances must be settled immediately upon termination.
Governing Law: NSW Law applies.
